About the Role

The Operations Administrator provides administrative, coordination, and communication support to the Director of Operations and site leadership team. This role helps keep daily operations organized by managing meetings, calendars, information flow, reporting, visitor processes, travel and expenses, site communications, and special projects. The ideal candidate is proactive, confidential, service-minded, and comfortable supporting a fast-paced manufacturing or distribution environment.

Job Responsibilities

  • Serve as a professional first point of contact for visitors, team members, and leadership, helping route questions and requests appropriately.
  • Coordinate calendars, meetings, conference rooms, meeting materials, minutes, lunches, refreshments, and other logistics that keep the site organized.
  • Support communication flow by drafting, routing, and organizing correspondence, reports, presentations, site updates, and leadership materials.
  • Maintain accurate administrative records, trackers, filing systems, and historical references so information is easy to locate and use.
  • Coordinate travel, expense reporting, office support, site visits, vendor follow-up, and other day-to-day operational administration.
  • Manage visitor reception activities and ensure a welcoming, professional experience for guests and business partners.
  • Support site communications by helping maintain communication boards, digital displays, leadership updates, announcements, and other employee-facing communications.
  • Coordinate with Custodial Staff and act as funnel for complaints and follow up.
  • Maintain Company vehicles – scheduling and servicing
  • Support employee engagement, recognition, special events, and other site initiatives as needed.
  • Handle sensitive business and employee information with professionalism, discretion, and confidentiality.

Job Knowledge, Skills and Abilities

  • Strong organization, follow-through, and ability to manage multiple priorities with limited direction.
  • Clear, professional communication skills with the ability to work effectively with leaders, employees, visitors, vendors, and cross-functional partners.
  • High attention to detail and comfort preparing reports, presentations, meeting notes, and written communications.
  • Strong working knowledge of Microsoft Excel, PowerPoint, Word, and Outlook.
  • A service mindset, good judgment, and the ability to maintain confidentiality.
  • Reliable attendance, flexibility, and the ability to adjust priorities when business needs change.
  • Experience in a manufacturing, distribution, operations, or site-based environment is helpful.

Qualifications

  • Associate’s degree in Business Administration or a related field preferred; equivalent experience will be considered.
  • Three or more years of administrative, business operations, or leadership support experience preferred.
  • Experience supporting senior leaders or a site leadership team is a plus.
  • Experience with calendar management, meeting coordination, reporting, presentations, travel, expense reporting, and confidential records preferred.
  • Ability to periodically walk, bend, kneel, stoop, climb, reach, and grasp as needed to support site activities.

Working Environment

This role supports a site-based operations environment and may interact with office, manufacturing, distribution, visitor, and leadership areas. Some flexibility may be needed during peak business needs, special events, visits, or critical site activities.
