Position Summary:

The Payroll Specialist will be responsible for ensuring accurate and timely processing of payroll for Spain, maintaining compliance with local legislation, and supporting various payroll-related functions. This role involves a high level of collaboration with HR teams, Finance, and external providers to ensure smooth payroll operations. The ideal candidate will bring a strong understanding of payroll systems and regulations and possess exceptional attention to detail, problem-solving abilities, and excellent customer service skills.

Key Responsibilities:

  • Accurately input payroll data into the vendor’s platform, verifying data already loaded via API, and ensuring 100% accuracy in payroll reports.
  • Review payroll output reports from external providers to ensure all instructions are processed correctly.
  • Prepare employment declarations and earnings statements, ensuring compliance with local requirements.
  • Manage interactions with third-party institutions, such as tax authorities, social security offices, and pension institutions, to resolve payroll-related queries, including managing certificates, garnishments, and severances.
  • Create and manage employee contracts.
  • Participate in designing and testing internal controls (SOX compliance).
  • Generate both ad-hoc and regular payroll reports.
  • Provide timely and effective responses to payroll-related inquiries and resolve any issues to ensure a high level of service.
  • Engage in continuous improvement initiatives for payroll processes across EMEA, with potential involvement in supporting payroll operations for Portugal, Italy, Turkey, and South Africa.
  • Develop strong relationships with HR and Finance teams to ensure seamless payroll operations and reconciliations.
  • Maintain up-to-date knowledge of payroll practices and regulations, representing payroll during internal and external audits.

Qualifications & Requirements:

  • Strong analytical skills with the ability to audit, compile, and analyze payroll data.
  • Minimum 2 years of experience in payroll processing, ideally with experience in multi-country payroll.
  • Comprehensive knowledge of payroll legislation and regulations.
  • Experience with SOX compliance is a plus.
  • Outstanding organizational skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Fluent in English (both written and spoken).
  • Working proficiency in Spanish.

Preferred Experience:

  • Experience with multiple payroll platforms such as Hypervision, E-temptation, ADPlink, and PeopleDoc would be an asset.
  • Exposure to payroll for other countries (e.g., Portugal, Italy, Turkey, South Africa) is advantageous.
